If you are traveling overseas or sending documents for use in a foreign country, you may be required to have the documents certified by the Kansas Department of State. Depending on the country requesting the certificate, that certification may be called an “Apostille.” An Apostille is an additional form of authentication given to a notarized document to certify that the document is a true, i.e., exact, copy of the original.
The K-State Office of the Registrar provides notarization of K-State issued official transcripts, diplomas, course descriptions, and syllabi needed by students for this process. Before requesting notarization, please check with the agency requesting your documents to determine what level of verification is required. The Office of the Registrar will NOT verify photocopies of transcripts or diplomas.
To have these documents certified for authentication or apostille, please read the following information and return the Apostille Processing Request Form to the Office of the Registrar.
The Office of the Registrar is able to certify original documents or copies to be sent to the Kansas Secretary of State Office. Please review the document requirements to verify what is needed prior to submission for certification; the Office of the Registrar is not responsible for documents submitted that do not fulfill the international requirements.
Duplicate Diplomas and transcripts may be ordered if an original document is required for certification. To certify one or more copies of a document already in the student’s possession, copies should be provided to the Office of the Registrar with the submission of the Apostille Request Form.
Depending upon the complexity of the requested documentation, please allow a minimum of 4-6 weeks (excluding weekends and holidays) for us to complete your request.

Certification of document
Certification that all documents submitted are authentic. Form are returned to the student via USPS or the student may pick them up in the office. NO Tracking provided.
Express Shipment to Secretary of State
Express shipment fee allows the student to have documents sent from the Office of the Registrar to the Kansas Secretary of State for Processing (domestic shipping rate applies). Tracking provided.
Express Shipment of Completed Documents back to the requestor
Express shipment fee to the have documents sent from the Secretary of State back to the requestor (shipping is allowed to anywhere in the world). Tracking provided.
